The Green Bee Program - Host Site Setup!

WELCOME TO GREEN BEE!! We are excited to hear your thinking about joining the Green Bee Team to help make our communities a healthier place to live and help provide our local organizations with much needed funding. We hope you will come BEE part of the Green Bee Experience!!!

So you want to BEE come a Green Bee Host?

This program was designed to be as flexible as possible to accommodate everyone’s tight schedules and busy life styles. Each Program will be uniquely different then the next. That is because you will be in control of tailoring the Program to fit the needs of your community. Yes you read that right; YOU will control the majority of the Program. We figured you know your community / area the best. We could sit here and try to make a very structured Program and hope it would work in that area or we could trust in our site hosts to use their experience and knowledge of their community to create the perfect Program. It was a no brainer….

Green Bee does have a few requirements that you must follow, but they are super easy and deal with the order taking and box delivery.

As with every other Program out there, things are bound to change as we gain more experience and encounter issues we didn’t think of. We really want to stick to these guidelines as much as possible, but please don’t let that stop your from asking your questions, suggesting alternatives and voicing your opinions. We welcome the feed back and want to know how we can make the Program run the smoothest for everyone.

Below are lists of links to help you get started in hosting a Green Bee Program site location. These are just the basic guidelines of how the Program operates; it will be your job to fill in the cracks.

What is the purpose of the Program?
PROGRAM PURPOSE

The purpose of the Green Bee Program is to be able to provide our community with fresh and healthy fruits and vegetables at an affordable price. Our other purpose is to be able help the people and organization’s receive funding for things they need or want to do. We all have been feeling the money crunch lately, and it has taken us off guard. All of a sudden we can no longer buy or do the things we were so use to doing, at no fault of our own. Schools are cutting funding for after school programs and activities, leaving our kids without a safe place to go after school, or our sports teams with no way to get uniforms or go to special camps. Churches are seeing fellow members trying hard to make ends met just to put food on the dinner table. Our food banks are at the lowest point in years, and now, more then ever, there are so many more people out there that need that resource. It seems the prices for the things we buy at the grocery store are increasing and the product amount is secretly decreasing. …(like we wouldn’t notice the can now costs 50 cents more and there is only 19 oz verses 24 oz, come on people.) It seems now is the time we all need each other the most, and that is what Green Bee is trying to do. Where else can you buy something for yourself and be able to help out your local community members without breaking the bank?

Who can be a Site Host?
YOU CAN BE A SITE HOST!

The Program is open to any individual, organization, charity, club, school, church, business, neighborhood, senior centers, sports team, day care, stay at home mom or dad, working mom or dad, grandparent, doggie day camp……..basically anyone who is need of some extra funding. We ask that you are a responsible motivated individual who can spare a little time each week to promote the Bee Box and hand out the weekly orders to your local community members.

Promoting the Bee Box

Promoting is a huge part of making this Program successful. To put it simply, the more people that know about Green Bee, the more opportunities to make your organization lots of extra cash! Because of the unique nature of the Green Bee Program, there is no real category or advertising directory we can add our name to for all to see. That’s why we all must get buzzing and spread the word!!!!!!

To aid you in your promotional adventure we have several sample flyers and informational statements that you can print and use or twist them into whatever fits your needs. As long as you don’t making any misrepresenting statements about GB or any of the GB Members, your free to BEE as creative as you want! Also, make sure that if there are any posting limitations in your area, you follow those rules!

Below is a list of ideas for promoting the Bee Box

    1. Send home flyers with the Children that participate in your organizations events or classes.

    2. Handout flyers to people who attend your organizations events. For example: sporting events, theatre productions, dance class, fairs, bazaars, music concerts, meetings, conferences, dinners, pep rallies, ect.

    3. Post flyers on your organizations bulletin boards, community event boards, public calendars, doors, windows, local stores, community centers, library, day care centers, athletic clubs, ect.

    4. Distribute the flyers door to door throughout your neighborhoods, or make clever door hangings to hang from everyone’s door knobs.

    5. If you know someone who is involved in other local club or attends a lot of big local events, ask them to hand out some flyers or give them a handful to set on a table by the door of their convention..

    6. Post it on your organizations website, blog, twitter page, my space page, face book, utube, ect.

    7. Email the flyer to other people involved in your organization or friends and family members.

    8. Word of mouth is the fastest traveling………….tell all your neighbors, , children’s playmates, relatives, dog park friends, parents, golf buddies, workout partners, bingo friends, business partners….any person you can think of that can pass the word along. It never hurts to tell someone!!!!!!!

    9. Run the information in your organizations newsletters or publications.

    10. Announce it on your public broadcasting television channel or over the air on the local radio stations.

    11. A lot of local newspapers will run Fundraising announcement ad’s for free.

    12. Post ad’s on Craigslist.

    13. Have a raffle ticket contest or half time show to win a Bee Box as the prize.

    14. Have a contest within your organization to see who can get the most orders.

    15. Pass out flyers at the Dog Park.

    16. Ask local businesses if you can leave information in a high traffic area of their business or lunchroom.

    17. Set up an information stand at a local community event, fair, or horse show.

    18. Hang up signs on your building or fences.

    19. Talk with other parents or child play group friends.

Orders/Bee Box Sales
TAKING / PLACING ORDERS

All orders are taken online at greenbeeproduce.com. No money exchanges hands at the site locations. To make things simple, we do not normally accept checks or cash. If customers want to use a different form of payment other then the credit card processing online, we suggest they find someone who can place an order for them through the website. This insures their order will get processed for site delivery.

There have also been questions about taking WIC coupons. We have researched this and found that due to the size of our business and the small request volume for taking WIC payments, Green Bee isn’t able to offer this service, as of now. We will continue researching and keeping up on the every changing WIC rules and hopefully will be able to offer this in the future.

SITE ORDER REQUIREMENTS

We also have a site requirement of a 15 box minim order / delivery. If after 3 weeks of delivery your site can’t generate more then 15 orders, we will have to ask you to move to another close by site for pickup. If after 10 weeks your site hasn’t increased over the 25 boxes threshold, we will have to meet with you and see what we can do to improve your site’s orders or discuss other possible options. The reason we give these minimums is because, we just can’t afford to transport only 3 boxes all the way across town each week.

Delivery Day & Time
SETTING THE DELIVERY DAY & TIME

*Green Bee will try and accommodate your request for the day and time you have chosen. Unfortunately we can not promise that you will get that day and time. Because we have a limited amount of drivers, we try and group the deliveries by site locations. In order to insure you get your boxes on time we have to limit ourselves to certain areas on certain days. We know everyone has busy schedules and are limited on time themselves, that’s why we will do our best to grant you your request. This will all be discussed when you speak with your Green Bee Representative to set up your site.

*Once your day, time and location have been set they can NOT be changed. We try and deliver to certain areas on certain days to minimize transportation costs and save time. We are on a very tight time schedule as it is, sometimes only having 15 minutes between site drop off times. If we changed your time or day we would have to change everyone’s delivery schedules. That just can’t be done.

*If you are going to be unavailable on your scheduled delivery day (on vacation, sick, ect) you will need to find someone to cover your site for you. We have found other Green Bee-er’s to be very receptive when asked for help with a site,

*If your delivery date falls on a major holiday; Thanksgiving, Easter, Christmas, ect, then Green Bee won’t be there to deliver. Sorry guys, every now and again we a little time off. Your delivery will be skipped over that week. Deliveries will continue like normal the following week (the week after the holiday).

Choosing a Site Location
SITE LOCATION

When choosing the location for your Bee Box deliveries, please keep these things in mind:

    1. If the site is located on someone else’s property, make sure you have permission to be there. Most people or stores are more then willing to let you use their parking lot or side area to hand out your boxes, but just make sure they are ok with it.

    2. You will be responsible for providing adequate protection from the weather elements. To insure that the produce stays fresh, the boxes need to stay dry and out of the extreme heat and cold until they are picked up by your customers. Green Bee is on a tight delivery schedule and won’t be able to stay at your location very long, so make sure you have a place the boxes can be put until pickup.

    3. Make sure it is an easy and convenient place for customers to pickup their orders. You don’t want to have your site out in lala land, or located on the busiest road with no turn access or a place to park. Try and choose a place that you can zoom in and out of fairly easy.


Site Host Requirements
RESPONSIBILITIES OF THE SITE HOST

*Green Bee requires you to have a responsible adult available at your site to accept delivery of the Bee Boxes. They must be able to compare the order sheet with the box deliveries and insure everything is there. They also must be able to double check that the customers who are picking up their orders are getting the right boxes and other items ordered. This is super important. Sometimes customers come and pick up their boxes thinking they have placed their order for that week’s delivery, but in reality they missed the cut off time and their order was placed for the following week. It’s a common mistake. If you don’t double check the orders your site will be short boxes, meaning someone who has already paid for their box won’t have one. Another common mistake is that people pickup the wrong type of box. We recently had someone grab an original Bee Box and a Salsa Box instead of an original Bee Box and a Bee Box Express. They didn’t realize it until they got home, but in the meantime the customer who ordered the Salsa Box was at the site calling us going “Where’s my Salsa Box?” We had no clue! Our records showed we delivered that Salsa Box to the site, we had no answer. We ended up going back to Green Bee, packing a new Salsa Box and driving it back to that customer’s home. Hours later we found out that it was a simple mistake of someone grabbing the wrong box. Luckily all involved were very understanding and friendly and it turned out ok, but a lesson was learned…….Check the boxes before they leave the site!!!!

*If a customer has a problem with any of produce in the Bee Box, the Site Host must be able to verify the customer’s complaint at the site. The Site Host will be responsible for contacting Green Bee for replacement of those unacceptable pieces, and for informing the customer their complaint is being addressed. Your Green Bee Representative will explain this more in detail at a later date.

*You will be responsible for keeping Green Bee updated on any changes you have made or want to make regarding your site. If information on the website needs to be changed, you need to let us know through the ‘contact us page,’ so we can make those changes.

*The Site Host must also be prepared for the weather elements. To insure freshness, the boxes need to stay clean, dry and cool. If a covered area is not available, conceder bringing some sort of shelter or a larger vehicle to keep the boxes protected until they are picked up by their owners.


Options for you to decide!
WHAT YOU WANT?

Depending on how much involvement and responsibility you want to take on, the following is a list of ideas/rules you might want to consider setting up for your Site. These ideas are completely optional, and will be up to you to implement if you decide to use them. If there are other ideas/ rules you want to try, please tell your Green Bee Representative.

    1. Having people pick up their Bee Boxes at a different time of day.

    2. Holding Bee Boxes for those whom have prepaid but can’t make the pickup time or date.

    3. Allowing children to pickup the Bee Boxes prepaid by their parents.

    4. Delivering the Bee Boxes personally.

    5. Assigning a different location for pickup, then the one used for delivery.

    6. Taking cash orders. (You will need to discuss this with the Green Bee Produce Representative to find out the policies on this)

    By choosing any of these ideas/rules or by creating any other rules not specifically set by Green Bee Produce, you will have to take responsibility for implementing them and any consequences that may occur from them. Green Bee Produce can not be held liable for anything that occurs outside of our set rules.

How the Donation/Money Part Works
WHERE’S MY MONEY!!!!

The money you receive will be based off the amount of boxes your site sold that week. Remember the more orders you get the more $$$$$$ you get back.

Some of our site hosts wanted more produce instead of the money. No problem!!! You want more produce, you got it! When you speak with your Green Bee Rep make sure you let them know this something you are interested in doing.

Also don’t forget to think about your site details. The when’s, where’s, and what time’s, they will all need to be addressed. You might also want to starting think about what rules and policies you want to offer to your customers as well. This isn’t a necessity but it will help in the long run. If you have any questions or if you are in the slightest bit confused about the Program process, please don’t be afraid to ask. We want to make sure you are comfortable with everything.
